Position Summary

The Executive Assistant to the Dean in the School of Public Health and Health Professions (SPHHP) provides administrative support to the Dean on a broad range of tasks and responsibilities that focus on facilitating the interaction of the Dean with the school, university, and external communities of interest. This self-directed professional will provide support aimed at maximizing the effectiveness of the Dean, as well as the overall Office of the Dean. They must be able to anticipate needs while managing the day-to-day workflow, along with prioritizing various projects.

Examples of the responsibilities include, but are not limited to:
• Prioritizing and addressing the Dean’s communication,
• Coordinating the Dean’s schedule and travel as well as preparing the Dean for her daily activities,
• Drafting correspondence and reviewing documents submitted for signature,
• Working as a liaison between the Dean and her executive staff and the department chairs,
• Organizing and performing the various aspects of meeting preparation.

This position requires strong judgment and independent resourcefulness, while handling time sensitive matters that require concise problem-solving and confidentiality. The Executive Assistant must be a self-motivated professional who requires limited supervision in making program related decisions. Furthermore, this positon may require some nontraditional hours of business in order to support the Dean’s activities during special events.

Minimum Qualifications

Associate’s Degree required with 2-3 years of experience providing administrative support to a leadership position.

Preferred Qualifications

Bachelor’s degree; 3-5 years of experience providing administrative support to senior leadership in higher education; experience with Google calendar and Microsoft Outlook calendar systems; Team player, willing to work in various levels of the organization, focusing on improving outcomes for the entire School and University.
