Position Summary

The College of Arts and Sciences at the University at Buffalo is seeking an Administrative Assistant in the Dean’s office. This position requires the incumbent to provide excellent customer service to faculty, staff, students, alumni, donors, and the general public. The key responsibilities for this role include, but are not limited to:

• Serve as primary administrative support for new Continuing Education initiative, including assist with venue and event management, speaker arrangements, payment processing, etc.
• General office support that includes distribution of mail, copying of documents, performing keyboarding and other document preparation tasks
• Provide office coverage in the reception area by assisting customers and directing telephone calls
• Serve as a back up to the Secretary to the Dean
• Schedule meetings and maintain calendars for a number of Associate Deans.
• Assist with project tasks for various areas within the Dean’s office
• Schedule travel arrangements and provide itineraries for Dean’s office staff members.

Work Hours: Monday – Friday 8:30 a.m. – 5:00 p.m.

Salary: $30,000 – $32,000

Minimum Qualifications

Associate’s Degree. Previous office experience. Excellent oral and written communication skills. Proficiency with various computer applications including the Microsoft Office Suite. The ideal candidate will have a customer-service sensibility as well as the ability to maintain professionalism and composure in stressful situations. They will also have the ability to multi-task and juggle competing priorities in a busy office environment. Lastly, they should be comfortable working in a diverse and multi-cultural environment.

Preferred Qualifications

Bachelor’s degree. Previous experience providing high-level administrative support to a leadership team.
