Position Summary

Position Summary:
• The Senior Administrative Assistant provides administrative support for the Division Chief of Cardiovascular Medicine and academic administrative support to University faculty within the division.

• Serves as an integral team member of the Division of Cardiovascular Medicine supporting the tripartite mission of research, education and patient care.

Major Responsibilities:
• Support the cardiovascular research programs

o Assist with grant submissions, budgets, progress reports and research related correspondence.
o Provide support with manuscript submission, formatting references, preparation of manuscript figures and correspondence.
o Serve as an interface for communication between faculty and institutional research oversight committees including the human subjects committee.
o Assist with annual reporting requirements.

• Support the cardiovascular teaching programs

o Support the Cardiovascular Medicine Fellowship Program Director in planning fellowship interviews; distribute monthly clinical schedules and coordinating research and teaching conferences.
o Interact with the School of Medicine in coordinating student electives and preceptorships with faculty in the division.

• Provide faculty administrative support

o Serve as the primary academic administrative support for the Division Chief.
o Acts as the point person for division faculty for phone calls/messages,
o Regularly update the Division web pages and annually update the faculty CV’s.
o Assist with patient related correspondence, scheduling and communication as needed to provide a smooth interface between faculty physicians and their inpatient and outpatient support staff for clinical activities.
o Coordinate and update faculty attending and cardiology fellows’ on-call schedules. Distribute the annual master schedule and detailed monthly calendar updated schedules to faculty, trainees and University affiliates.
o Manage incoming and outgoing mail, filing, office supplies, photocopying, scanning, faxing and printing.
o Serve as the primary contact and facilitate travel arrangements and itineraries for outside visitors including visiting professors and prospective faculty recruits.

Minimum Qualifications

Bachelor’s Degree or Associates degree with 3 years’ experience in university or research administration.
